Scope and rules
Proposed output
Workflow, retained/change scope and field/permission questions.
Acceptance basis
Define a scope around workflows and goals.
CUSTOM PLATFORMS & WORKFLOWS
Describe users, current actions and the handover to improve. Separate retained behavior, changes and system responsibilities, then agree the prototype, development and acceptance basis.
BEFORE YOU START
For workflows beyond standard features, changes to an existing platform or interface handovers. Begin with one specific operational problem.
01 / ONE REQUEST, KEEP THE SOURCE RECORD
Use a meeting reschedule to explore collaboration among applicants, service staff and existing systems.
Existing-system owner
Provides a traceable booking ID and original slot. The existing ledger remains the confirmation reference.
Requester
The proposed prototype records the target slot, reason and related booking. Requesting a change does not confirm it.
Service staff and system owner
Business staff confirm rules and handling roles. The system owner checks conflict rules, write permission and confirmation receipts.
Confirmed by the existing system
Ledger changes are discussed only when the agreed confirmation evidence exists. Unresolved permissions retain a manual check path.
The booking ledger, identity source and approval responsibility. Replacing every system is not assumed.
Connect applications and service records through reservation identifiers, times and states.
Request input, comparison with the original record, handling feedback and handover notes. Development follows scope agreement.
Organize clear business entries for applicants and service staff.
Design clear paths for scheduling conflicts, cancellations and duplicate requests.
Unconfirmed · keep the original booking
When a reschedule is unconfirmed, explain the reason, offer a revision or service-contact entry, and retain entered information.
Make requested, pending and confirmed states clear so users can review progress and continue.
02 / STAGE OUTPUTS & ACCEPTANCE
Collaborate in stages, from business analysis and interaction design to integration and delivery.
Workflow, retained/change scope and field/permission questions.
Define a scope around workflows and goals.
Desktop/mobile input, original-record comparison and illustrative confirmation/failure feedback.
Review normal and exceptional situations to improve navigation and information retention.
Agreed modules, test records, source and technical docs, configuration and usage/maintenance instructions.
Complete scenario validation, handover and maintenance arrangements to support ongoing use.
